Psychedelic Coaching Institute Program Manager Job Description

Since 2015, Third Wave has been committed to co-creating a global movement that embraces psychedelic use as a means of healing. We aim to drive cultural awakening through personal transformation by sharing trusted resources, training, and support for the intentional use of psychedelics.

To further this mission, we seek a full-time Program Manager to oversee the content and delivery of Psychedelic Coaching Institute programs, focusing on expanding educational offerings for psychedelic coaches and facilitators. This role requires the ability to effectively review and provide feedback on assets created by our marketing team, including funnels, landing pages, and email campaigns, while also managing updates for stakeholders, including the CEO and COO. This position offers a salary range of $6,000 to $8,000 per month, based on qualifications.

As a highly organized and detail-oriented independent contractor, you will collaborate closely with the CEO, COO, marketing team, and Program Coordinator to ensure the success of program delivery and related marketing projects, ensuring they run on time and within budget. In your role as the lead manager of the Practitioner Certification Program, you will work with the Program Coordinator to ensure all functions operate seamlessly, providing a world-class student experience.

YOUR RESPONSIBILITIES

Including but not limited to:

  • Manage Program Faculty and the overall student experience, including onboarding, communication, and support.
  • Compile student feedback (NPS surveys, ad hoc feedback) quarterly and contribute to strategies for enhancing customer experience.
  • Maintain process documentation for the programs department, including SOPs and program runbooks.
  • Oversee the delivery platform (LearnDash) and related technology with support from the tech team.
  • Manage Asana projects and tasks for the Programs Department.
  • Communicate when additional customer or expert support is required.
  • Identify areas for process improvement and collaborate with the team to implement solutions.
  • Contribute to the growth and improvement of Psychedelic Coaching Institute Programs.
  • Ensure quality assurance for info products and keep programs updated across platforms.
  • Support ongoing program development, creating necessary assets (e.g., worksheets, email copy).
  • Update weekly KPIs and share them in team meetings.
  • Manage campaigns from brainstorming to reporting.
  • Lead communication with stakeholders to ensure team alignment on projects.
  • Collaborate with marketing to drive revenue and ensure marketing assets are accurate.
  • Work with subject matter experts to prepare for webinars.
  • Support live webinars and info sessions.
  • Report tech issues/bugs as needed.
  • Create and execute annual program schedules.

GENERAL REQUIREMENTS:

  • 3-5 years of experience in marketing, content marketing, course creation, and project management, with a proven track record in managing complex projects.
  • Exceptional time management and organizational skills.
  • Impeccable attention to detail and multitasking capabilities.
  • Strong communication skills across departments.
  • Comfortable in a fast-paced environment.
  • Creative problem-solving skills and initiative.
  • Ability to work independently and as part of a team.

BONUS CHARACTERISTICS:

  • Experience with online courses and coaching programs.
  • Tech-savvy, familiar with using AI to enhance work quality.

We do that by sharing trusted and reputable resources, training, and support around the intentional use of psychedelics.

With the rapid growth of interest in psychedelics, we are looking for a full-time Marketing Project Manager capable of planning, managing, and executing marketing campaign projects for our spin-off unit focused on expanding our educational offerings geared towards psychedelic coaches and facilitators, Psychedelic Coaching Institute (PCI).

Since its launch in June 2021, 200+ coaches have participated in our Coaching Certification Program (CCP), and we’re on track to enroll an additional 200+ coaches annually.

We seek a highly organized and detail-oriented Marketing Project Manager to join our team. In this role, you will work closely with the Institute Director and COO to identify the skills and resources necessary to complete marketing projects — from a product launch to a targeted email marketing campaign — on time and within budget.You should have strong leadership and strategic planning skills as a key team member. A top-notch marketing project manager should have excellent project management, analytical, and decision-making skills.

YOUR RESPONSIBILITIES

 Including but not limited to:

  • Working with PCI stakeholders to build robust, strategic marketing campaigns.
  • Manage campaigns from initial brainstorming and research phase, through implementation or production, on to debriefing and reporting.
  • ​​Assign tasks, set deadlines for team members, and determine the project’s resource allocation requirements — all while making adjustments throughout the project’s duration. 
  • Lead communication with stakeholders, ensuring the full team has the information and buy-in needed to get the project across the finish line. 
  • Ensuring customers and management are satisfied with the proposed marketing campaigns.
  • Collaborating with writers and graphic designers to create marketing assets.
  • Collaborating with the tech team to ensure all tech softwares, platforms and tracking are working effectively.
  • Creating and managing a content/marketing calendar and scheduling deadlines.
  • Maintaining an up-to-date understanding of the company, its products, and its client base to implement effective marketing promotion and launch campaigns.
  • Managing and supervising marketing projects from beginning to end.
  • Developing and maintaining strong working relationships with external vendors (if applicable).

GENERAL REQUIREMENTS:

  • 3-5 years working experience in project management and/or marketing roles.
  • Bachelor’s degree in business, management, marketing, or a related field is a plus.
  • Must be proficient with Asana, Google Suite (Docs, Sheets, Slides) and Slack.
  • Knowledge  or willingness to learn marketing software stack tools including but not limited to  Active Campaign, Funnel Kit, and Thrive Themes.
  • Experience with project management theory and best practices.
  • Exceptional time and project management skills. 
  • Strong understanding of marketing and ability to leverage marketing analytics and prioritize resources to maximize the outcome.
  • Data and conversion-centric.
  • Excellent organizational, prioritization, and decision-making skills.
  • Impeccable eye for detail and capable of multitasking.

We seek a highly organized and detail-oriented Program Coordinator to join our team. In this role, you will work closely with the Head of Programs to ensure timely updates and efficient management of our PCI Programs and other initiatives the team is working on. As a key member of our team, you will be responsible for the client onboarding experience, as well as overseeing the customer journey, and maintaining effective communication with our clients and coaches.

YOUR RESPONSIBILITIES

Including but not limited to:

  • Manage program and product content and ensure all programs and products are up-to-date on all platforms.
  • Manage customer onboarding, communication and support throughout the customer journey.
  • Provide the Customer Support Team with up-to-date information about the Psychedelic Coaching Institute programs and products to support customer service and sales.
  • Compile feedback from students (NPS surveys, and ad hoc feedback, etc.) on a quarterly basis and contribute to strategies for an enhanced customer experience.
  • Oversee and maintain process documentation for the programs department, including SOP creation, real-time tracking of customer payments and upkeep of each program run books.
  • Oversee the delivery platform (Learn Dash) and technology for programs with support from the tech team.
  • Manage and maintain the Asana Projects and tasks for the Programs Department.
  • Manage the PCI Communities on Mighty Networks (currently Coaching Certification Program and may expand in the future) by monitoring student conversations and assisting as needed.
  • Communicate when additional customer and/or expert support is required in the community.
  • Report any tech issues/bugs to the team as required.
  • Proactively contribute to the continued growth and improvement of Psychedelic Coaching Institute Programs Department.
